5 reasons NOT to choose n8n (and 3 cases where it's exactly what you need)

July 10, 2026

n8n: the Zapier, Make and n8n comparison, by ezacae

Everyone is talking about n8n as the new savior of automation. Open source, free, insanely powerful, able to replace Zapier and Make combined. The LinkedIn posts keep coming, and the YouTube tutorials promise miracles in 15 minutes.

We’re about to kill the mood.

We’ve been implementing n8n for our clients for several years. We’ve seen teams save 200 hours a month with it. We’ve also seen others give up after three weeks of frustration, crawl back to Zapier, and lose a whole quarter in the process.

The truth? n8n is an outstanding tool. But not for everyone. And definitely not in every situation.

This is not yet another “Getting started with n8n” guide. It’s an unfiltered take on n8n’s pros and cons, built in the field, to save you six months of pain, or to confirm you’ve struck gold.

If you recognize yourself in any of the five situations below: run. Otherwise, read to the end. What follows might change the way you automate.

Part 1: n8n limitations, or 5 reasons NOT to choose n8n

1. You want instant “plug and play”

Let’s be clear from the start: n8n is not Zapier.

Zapier is the iPhone of automation. You open the app, connect Gmail to Notion in three clicks, done. Your grandmother could do it (and she probably does it better than you).

n8n is more like a rooted Android. More powerful, more flexible, but you have to get your hands dirty. The interface is built on “nodes” that you connect to each other. It makes sense once you get it. But getting it takes time.

The classic mistake we see: a small business owner watches a YouTube demo where a bearded guy builds a workflow in 10 minutes. He thinks, “easy.” He installs n8n. Two hours later, he’s lost in webhooks, JavaScript expressions and data mappings. His workflow doesn’t work. He blames the tool.

The problem isn’t the tool. It’s the expectation.

What we see in the field: teams with no technical background usually give up within the first two weeks. Not because n8n is bad, but because it demands an upfront investment that Zapier doesn’t.

Our recommendation: if your need is simple (connecting two apps, triggering a basic action), start with Zapier or Make. You’ll move to n8n when your needs, and your skills, have grown. There’s no shame in that. A simple workflow that runs beats a complex workflow that never sees the light of day.

2. You have no one to maintain the infrastructure

Here’s the deal with n8n: the self-hosted version is free. Truly free. No execution limits, no hidden fees.

But “free” doesn’t mean “no cost.”

Self-hosting means: a server (VPS, cloud or on-premise), a database, regular updates, performance monitoring, backups, security management.

The classic mistake we see: a startup installs n8n on a small €5/month VPS. It works for three months. Then workflows multiply, the database grows, the server slows to a crawl. One day, everything crashes. Critical automations (invoicing, customer follow-ups) stop. Total panic.

Nobody had planned to maintain the infrastructure. Because nobody knew it was necessary.

What it really takes: count on at least 2 to 4 hours a month for basic maintenance (updates, monitoring, optimization). More if your volumes grow or you run into problems. And you need someone competent to do it.

Our recommendation: you have two options. Either use n8n Cloud (the version hosted by n8n, paid but with no infrastructure worries). Or outsource maintenance to a specialized agency, like ours, though we’re not twisting your arm. What matters is to plan for this hidden cost before you start.

3. Your volumes are low and predictable

n8n shines when volumes explode. That’s where its business model really makes sense: no per-execution billing, horizontal scalability, solid performance.

But if you run 200 tasks a month… honestly, what’s the point?

Let’s do the math together:

  • Zapier Free: 100 tasks/month, free
  • Zapier Starter: 750 tasks/month, ~$20/month
  • n8n self-hosted: unlimited, but a VPS (~€10-20/month) + maintenance time (~2 h/month minimum)

At small volumes, Zapier often costs less in total (money + time). And it’s up and running in 10 minutes.

The classic mistake we see: choosing n8n “in case we scale.” It’s like buying an 18-wheeler to do your grocery shopping. Yes, technically it works. No, it’s not reasonable.

Our recommendation: start simple. Validate your processes. Measure your real volumes. When you regularly go over 2,000-3,000 executions a month, or your workflows get too complex for Zapier, that’s when you migrate. Not before.

4. You need fast, guaranteed support

n8n is open source. That’s its strength: an active community, constant contributions, full transparency on the code.

It’s also its limitation: no hotline. No guaranteed 2-hour response. No contractual SLA (except on the Enterprise plan).

What we went through: one of our clients hit a blocking bug on a specific connector. Critical workflow, automated invoicing, total standstill. We opened a ticket on the community forum. A relevant answer in 48 hours, bug fixed the following week.

48 hours. For a critical process. That’s a long time.

On a SaaS like Zapier or Make with paid support, the same issue would have been escalated within a few hours.

The classic mistake we see: deploying n8n on a vital process (payments, orders, security alerts) with no plan B. One day it breaks. And that day, you’re on your own.

Our recommendation: for critical workflows, two options. Either move to n8n Enterprise (dedicated support, guaranteed SLA). Or build in redundancy: failure alerts, a backup workflow, external monitoring. Open source means freedom. But freedom comes with responsibility.

5. Your team is afraid of code (even a little)

Let’s be honest: for basic workflows, n8n doesn’t require coding. The visual interface does the job.

But as soon as you want to go further, transforming data, handling complex conditions, adding AI, working with exotic APIs, you’ll run into JavaScript expressions. Or Python. Or JSON to parse.

The litmus test: if the line JSON.parse(items[0].json.body) breaks you out in a cold sweat, n8n will frustrate you. Not today. But in three months, when you want to do that thing that’s “just a little more advanced.”

The classic mistake we see: a marketing manager promises the boss automations with AI agents. He saw a demo. It looked simple. Except that behind the demo, a senior developer spent two days wiring it all together.

It’s not bad faith. It’s a gap between the marketing promise and the technical reality.

Our recommendation: if your team is 100% non-technical, there are two paths. Either invest in serious training (count on a few days to become self-sufficient). Or hand off workflow building to specialists and focus on using them. There’s no shame in knowing your limits. It’s smart to surround yourself with the right skills.

Still here?

Well. We’ve thoroughly killed the mood.

Five good reasons to run from n8n. Five situations where you’ll lose time, money, and probably some hair.

But if you’re still here, something tells you n8n might be your best ally after all. Maybe you recognized your situation in some of these points, but not all of them. You’re thinking, “OK, but my case is different.”

Maybe you’re right.

Here are the three profiles for whom n8n isn’t just a good fit. It’s a must-have.

Part 2: the 3 cases where n8n is exactly what you need

1. You’re an agency that wants to scale its automation services

If you’re an agency (marketing, development, consulting, whatever) and you sell automation services to your clients, n8n is probably the best choice you can make.

Why? Because n8n’s business model is built for you.

The problem with Zapier or Make for an agency: you build a workflow for a client. It runs. The client is happy. Then you do the same thing for a second client. Then a third. Every time, you pay execution fees. Every time, your margins erode. The more clients you have, the more it costs you.

That’s absurd.

What n8n changes: no per-execution billing. You build a workflow once, export it as JSON, deploy it for ten clients. Your marginal cost is close to zero. Your margins take off.

But that’s not all.

The real game-changer: white-labeling. With n8n, you can embed your automations in your own products. Your logo, your interface, your brand. The client never sees “n8n.” They see your solution. You go from service provider to software vendor.

And then there’s AI. n8n has native artificial intelligence features: multi-step agents, connections to LLMs (the large language models behind tools like ChatGPT), complex orchestration. While your competitors cobble together shaky integrations between Zapier and ChatGPT, you deliver integrated, robust, professional AI solutions.

That’s your competitive edge. Not two years from now. Right now.

Our experience: we use n8n to build reusable automation building blocks. A lead qualification workflow? We built it once. We adapt it in a few hours for each new client. The time saved is huge. And our clients get a proven solution, not a prototype.

2. You’re a growing SMB whose needs change fast

You know that moment when your company really takes off? The processes that worked “by hand” start to crack. The team spends more time copy-pasting data than creating value. Everyone feels you need to automate, but nobody knows where to start.

That’s exactly when n8n becomes relevant.

The problem with mainstream tools: they’re perfect to get started. But as your volumes grow, prices skyrocket. Zapier at €1,000/month for a 15-person company: we’ve seen it. And at that price, you’re locked in: moving elsewhere means rebuilding everything.

What n8n offers growing SMBs:

First, scalability with no surprises. Going from 1,000 to 50,000 executions a month? Your bill doesn’t explode. You add a bit of server capacity, and you’re done. No commercial renegotiation, no painful pricing tiers.

Second, centralization. More than 500 native integrations. Your CRM, your invoicing tool, your marketing automation, your ERP: everything can talk on a single platform. No more data scattered across ten tools that don’t communicate.

Third, gradual autonomy. Your teams can start with simple workflows (ready-made templates, there are more than 1,700 of them). Then build their skills. Then create increasingly sophisticated automations. The tool grows with you.

A telling number: some SMBs document savings of 200 hours a month after rolling out n8n on their IT and operational processes. 200 hours. That’s more than one full-time employee. Reinvested in what really matters.

Our recommendation: if you’re a company of 10 to 100 people, with growing automation volumes and a team at least somewhat comfortable with digital tools, n8n is probably your best technology investment of the year. Not the most visible one. But the most profitable.

3. You have non-negotiable security or compliance requirements

In some industries, the question “where does my data go?” isn’t a detail. It’s a legal obligation. A contractual requirement. A deal-breaker.

Banking. Insurance. Healthcare. Public sector. But also any company that handles sensitive data: HR, legal, finance.

For these organizations, Zapier and Make pose a structural problem: your data passes through their servers. In the United States, for the most part. You have no control over where it’s stored, who accesses it, or how it’s protected.

What n8n makes possible: full self-hosting.

Your workflows run on your servers. On-premise if you want. Air-gapped if needed (no outbound internet connection). Your data never leaves your infrastructure.

It’s GDPR by design. Not a sales promise. A technical architecture.

The enterprise features that matter:

  • SSO and LDAP: your employees sign in with their company credentials
  • RBAC (Role-Based Access Control): you define precisely who can see and edit what
  • Audit logs: full traceability of every action for your compliance audits
  • Encryption: data at rest and in transit protected to your standards

A concrete case: one of our clients in the financial sector had a simple requirement: no customer data may leave French territory. With Zapier, it was impossible. With self-hosted n8n on French infrastructure, it was solved in a week.

Our recommendation: if you’re subject to strict regulations (GDPR and stricter rules, health data, banking secrecy…) or if your clients impose data residency requirements, n8n isn’t just an option. It’s often the only viable option among modern automation platforms.

Zapier vs Make vs n8n: the honest comparison

Prices and features change often. Here’s a snapshot checked on the official websites (January 2025) to compare what’s actually comparable.

⚠️ Warning: these tools don't count the same way. Before comparing prices, understand this fundamental difference:
  • Zapier bills per task: 1 action = 1 task. A 5-step workflow uses 5 tasks.
  • Make bills per operation: 1 module = 1 operation. A 5-module scenario = 5 operations.
  • n8n bills per execution: 1 complete workflow = 1 execution, no matter how many steps.
The result: the same process can cost up to 5x more on Zapier than on n8n, depending on its complexity.

Part 3: is n8n worth it for you? Our 2-minute decision grid

Enough theory. Here’s a practical tool to decide. Answer these questions honestly.

Column A, warning signs

  • My team has never touched code, not even basic HTML
  • I have no one in-house to manage a server
  • My automation needs are simple and stable (< 500 executions/month)
  • I need customer support I can reach in under 2 hours
  • I want it working in 30 minutes, not 3 days

Column B, positive signs

  • I have (or can get) someone technical on the team
  • My automation volumes exceed 2,000 executions/month
  • I want to keep costs under control even if my volumes explode
  • I have security or data location requirements
  • I’m an agency and I want to resell automation services

How to read it:

Mostly boxes checked in column A: n8n probably isn’t for you today. Start with Zapier or Make, the two main alternatives compared above. Come back in 6-12 months when your needs have evolved.

Mostly boxes checked in column B: n8n is for you. The question is no longer “if” but “how.” Self-hosted or cloud? On your own or with support? That’s the next step.

A balance between A and B: your situation deserves a closer look. The potential benefits are real, but so are the risks. A quick audit of your needs will keep you from heading in the wrong direction.

Conclusion: is n8n worth it?

n8n isn’t for everyone. And that’s exactly what makes it a powerful tool for those it fits.

It’s a demanding platform. It requires an upfront investment, in time, in skills, sometimes in infrastructure. It doesn’t forgive improvisation.

But for agencies that want to scale their services, SMBs that refuse to be strangled by per-execution costs, and organizations that take data security seriously, n8n is a lever for transformation.

We don’t recommend n8n to everyone. We’ve said so clearly in this article. Sometimes we steer our clients toward simpler solutions, because that’s what they need.

But when the fit is there, when needs, skills and constraints line up, n8n becomes a business accelerator that’s hard to beat.

And you, where do you stand? Have you already tried n8n? Still on the fence?
